Looking after a club’s administration can be a difficult task; managing your membership base, transactions and communications. But gathering all of these elements (and more) together into an easy to use portal is the Club Management Tool (CMT).

It’s directly linked into the British Cycling system. The tool is free of charge for affiliated clubs and has helpful features that will make it a lot easier to manage members, giving you more time to get out on the bike!

Club secretaries are granted automatic access to the CMT and are able to access the tool through their dashboard, however we realise that numerous volunteers are often involved with the day to day running of the club so there is the option to give access to additional volunteers.

Using the Club Membership application, you can store all member information in one place and communicate at the click of the button. Your member list will be automatically updated with people who have declared membership of your club through British Cycling registration, however you can view and edit this to reflect your current membership base.

As part of the tool, you can run reports to provide a breakdown of membership and save these to view and share regularly. Reports can be tailored to show certain criteria, reflecting activity specific to your club and supporting club membership as you learn more about your members.

The Club Subscription feature allows members to pay subscription fees straight into the club's bank account. Here, you can decide how the subscriptions are accepted and request that renewal reminders are sent to all those members whose subscriptions have expired. Whilst there is a £1 admin fee per subscription, allowing British Cycling to remain cost neutral, a club can decide to absorb this by simply reducing the subscription by £1. Setting up online payments doesn’t mean that every single member has to pay this way either: you can still accept payments by the more traditional methods of cheque or cash whilst keeping a record of the transaction.

Both the club membership and subscription functions allow you to capture bespoke information relevant to your club; which could include jersey size, whether the member would be interested in volunteering or perhaps which disciplines the member is involved in.
