Whilst all PVG enquires should be directed to Scottish Cycling’s Wellbeing and Protection Team at , we hope that the following notes will be helpful to you in answering initial questions from club members.

Who requires to become a PVG Scheme Member?

All those who wish to carry out Regulated Roles (paid or voluntary) require to join the PVG Scheme before they commence work. You can read more about the PVG Scheme here:

The usual roles that require a PVG check are those who work directly with Under-18’s and/or Protected Adults, typically:

  • Wellbeing and Protection Officer
  • Event Welfare Officer
  • Coach
  • Mountain Bike Leader
  • Activity Helper
  • Team Manager
  • Those with managerial responsibility for individuals in regulated roles such as the above positions should also complete a PVG application.

If someone has already joined the PVG scheme through another organisation do they still need to join through the Club/Scottish Cycling?

Yes, they will require to have their PVG linked to Scottish Cycling. They should complete the PVG Application form.

What if I work at different Clubs/Groups/Associations who are affiliated to Scottish cycling?

A PVG application should be completed for every Club/Group/Association that an individual carries out a Regulated Role for. This can be done on our PVG Application form.

How much will it cost?

All PVG applications are free of charge for volunteers. If you are a paid member of staff, a Scheme Record currently costs £59.00 and a Scheme Record Update costs £18.00. It is the decision of the Club/Group/Association regarding who pays for the application. Payment will be requested by Disclosure Scotland during the application process.

Do I have to check ID for Existing Member Applications?

Yes. A minimum of three forms of ID, one to be photograhic and two to be address, must be seen for all applications submitted. Please note that a PVG Certificate or Enhanced Disclosure Certificate are not accepted by Disclosure Scotland as valid forms of ID and therefore cannot be used as Address Verification documentation.

Do I need to send in copies of ID to Scottish Cycling or the ID Checker?

No, Scottish Cycling or the ID Checker should not accept copies of applicant ID. The WPO/ID Checker should verify the applicants’ identification (via meeting) and record which identification was checked on the application form.

Can I verify the ID for someone who is related to me?

No. Another ID Checker should verify the applicants ID in this case. The ID Checker will need to complete and return the ID Checker Agreement

What if I have previous convictions/non-conviction information?

A criminal record will not necessarily prevent you from working or volunteering in the Club/Group/Association.

You should declare any relevant information in a self-declaration form. You may be invited to discuss this further to make sure we have as much of an understanding as possible about your situation before deciding whether or not offences are relevant to your post. Vetting information on your PVG Scheme Record will also be considered in relation to the position you are being considered for.
